This policy explains how Keep (“we”, “us”) handles personal data when you use keepreel.co.uk or book a package. We keep this as clear as we can — if something is unclear, email hello@keepreel.co.uk.
Who we are
Keep provides UK camcorder hire and edited film packages under the website keepreel.co.uk. For privacy questions, contact hello@keepreel.co.uk.
What we collect
Depending on how you use Keep, we may process:
- Identity and contact details (name, email, phone, delivery address)
- Booking details (hire dates, package chosen, messages you send us)
- Payment status and order references (card payments are handled by our payment providers — we do not store full card numbers)
- Technical data needed to run the site (for example IP address, browser type, and basic analytics if enabled)
- Footage and related files you return with the kit, so we can edit and deliver your film
How we use your data
- To fulfil your booking, ship kit, take returns, and deliver your film
- To take payment and the refundable care deposit, and to refund the deposit when the kit returns in good order
- To answer support messages (including WhatsApp if you contact us that way)
- To meet legal, tax, and accounting duties
- To improve the website and fix problems (security and performance)
We do not sell your personal data. We do not use guest wedding footage for marketing without a clear, separate agreement from you.
Legal bases (UK GDPR)
We typically rely on:
- Contract — to provide the hire and editing service you booked
- Legitimate interests — to run and secure the site, prevent fraud, and improve the service in ways that do not override your rights
- Legal obligation — where the law requires us to keep records
- Consent — where we ask for it (for example optional marketing email, if offered)
Who we share data with
We use trusted providers who process data for us, including:
- Booqable — online booking and checkout
- Stripe (or other payment processors connected in Booqable) — payments and deposits
- Cloudflare — website hosting and security for keepreel.co.uk
- Couriers / Royal Mail — delivery and returns
- Professional editors or contractors under our instruction, only as needed to deliver your film
Some providers may process data outside the UK. Where that happens, we expect appropriate safeguards (for example standard contractual clauses) from those providers.
How long we keep data
We keep booking and payment records for as long as needed for the contract, deposits, disputes, and legal/accounting requirements (often up to six years for financial records). Edit project files are kept long enough to deliver your film and handle reasonable follow-up, then deleted or archived according to our operational retention. Site logs are kept only as long as useful for security and diagnostics.
Your rights
Under UK data protection law you can ask to:
- Access the personal data we hold about you
- Correct inaccurate data
- Erase data in certain circumstances
- Restrict or object to certain processing
- Receive a portable copy of data you provided (where applicable)
- Withdraw consent where processing is based on consent

Cookies and similar tech
The site uses cookies or similar technology needed for hosting, security, and booking embeds (including Booqable). Essential cookies are required for the site and checkout to work. Children
Our services are aimed at adults arranging weddings and hen weekends. We do not knowingly market to children. Wedding footage may include children who attend your event; you are responsible for ensuring you have any permissions needed among your guests.
Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the site after an update means you accept the revised policy.
